Tandem Toastmasters Website Maintenance


Whenever you change a page, put the current date after "Most recent update:" at the bottom of the page.

If you add a new page, or add a new section to an existing page, add appropriate entries to the index (index-a-m.html and/or index-n-z.html.


When a New Member Joins

Create a web page for the new member:

  1. Choose the file name of the new page. It must differ from the file names in the folders Members and Alumni. The first choice is Lastname.html (for example, Jones.html). The second choice is LastnameFirstinitial.html (for example, JonesR.html).
  2. In the Members folder, open a current member's page.
  3. Save the open page under the new file name.
  4. In the new page, replace the current member's information with the new member's information. Keep the phone number and email address private unless the new member gives you written permission to publish them.
  5. Save the new file.

When a Member Leaves

  1. Move the member's web page from the Members folder to the Alumni folder.
  2. Update:


When a Former Member Rejoins

  1. Move the former member's web page from the Alumni folder to the Members folder.
  2. Update:


When a Member Earns or Wins an Award

Update:


Every Week

When you know the Toastmaster's name and the theme for the week's meeting, update:

After the week's meeting, update:


Every month

After the last meeting of the month, update:

Send the URL of this month's newswire's to the TM distribution list.


Every Six Months

When you know the new officers' names, update:

Every Year

At the beginning of the year:

  1. In the Newswires folder, create a new folder for the new year.
  2. In the Ribbons folder:
    1. Create a new file, ribbons-yyyy.html, for the previous year (example: Ribbons/ribbons-2004.html).
    2. Move the previous year's data from Ribbons/ribbons.html to ribbons-yyyy.html. (Keep the H3 paragraphs that contain the names of the months -- you'll need them for the new year's data.)
    3. Add the new year to the table at the beginning of >Ribbons/ribbons.html.

  3. In the Speeches folder:
    1. Create a new file, speeches-yyyy.html for the previous year (example: Speeches/speeches-2004.html).
    2. Move the previous year's data from Speeches/speeches.html to speeches-yyyy.html. (Keep the H3 paragraphs that contain the names of the months -- you'll need them for the new year's data.)
    3. Add the new year to the table at the beginning of >Speeches/speeches.html.

  4. In the Themes folder:
    1. Create a new file, themes-yyyy.html, for the previous year (example: Themes/themes-2004.html).
    2. Move the previous year's data from Themes/themes-date.html to themes-yyyy.html. (Keep the H3 paragraphs that contain the names of the months -- you'll need them for the new year's data.)
    3. Add the new year to the table at the beginning of Themes/themes-date.html.
